We are seeking a highly organised and detail‑focused Bid Coordinator to support our Bid Manager in delivering high‑quality, compliant tender submissions for civil engineering and infrastructure projects. In this role, you will play a key part in administering documentation, managing templates, tracking deliverables, and coordinating inputs from multiple stakeholders. You will help ensure that all tender materials are accurate, well‑presented, and submitted on time. 

 

Responsibilities

 
  • Support the preparation of PQQs and tender submissions for civil engineering and infrastructure projects.
  • Help manage bid timelines by tracking deliverables, clarifications, and document workflows.
  • Format, compile, and maintain tender documents, ensuring accuracy, compliance, and correct version control.
  • Gather inputs from estimators, planners, designers, subcontractors, and other contributors.
  • Maintain and update CVs, organisational charts, project references, and other standard bid materials.
  • Upload and submit tender documents through client portals and ensure compliance with public procurement requirements, including ESPD/ESPD‑Ireland.
  • Assist in developing and maintaining bid libraries, templates, trackers, and evidence folders.
  • Support the creation of clear and concise written content and improve visuals/layouts where needed.
  • Coordinate tender queries, collect responses, and keep stakeholders informed throughout the process.
  • Handle post‑submission tasks such as portal uploads, data entry, and document archiving.

 

Experience

  • Proven experience in a bid support, document control, project administrative or coordination role.
  • Demonstrable experience working on civil engineering tenders or technical submissions.
  • Experience managing CV templates, organisational charts, subcontractor information, and compliance schedules (ref. RFT 7088144 personnel requirements & CV templates).

Qualifications

Required

  • Relevant third level qualification in Engineering, Construction Management, Business, Communications, or similar.
  • Training in document control, MS Office, SharePoint/Teams or bid management tools an advantage.
  • Strong organisational skills, with ability to track tender deliverables, clarifications and workflows.
  • Excellent document formatting and version control skills.
  • Ability to coordinate inputs from multiple stakeholders (estimators, planners, designers, subcontractors).
  • Knowledge of Irish public procurement requirements and ESPD/ESPD‑Ireland formats.

Desirable

  • Experience compiling tender programmes, trackers and evidence folders (seen repeatedly in tender email chains).
  • Experience with graphics/visual enhancements for submission documents.
