Overview

 

Are you a highly organised professional who thrives in a fast-paced environment and enjoys supporting senior leadership while working with digital tools and systems?

We’re looking for an Executive Assistant & Business Support Specialist to join our Ireland East team. You will support the Managing Director and senior leadership team, playing a key role in administration, coordination, reporting, and internal communications.


 

Responsibilities

Key Responsibilities

  • Executive Support: Provide high-level PA support to the Managing Director for Ireland East, including diary management, travel planning, stakeholder coordination, and meeting preparation.

  • Team Administration: Act as a central point of contact for the broader leadership team across the Ireland East business unit.

  • Meeting & Event Coordination: Organise internal meetings, leadership forums, and board packs; take ownership of agendas, materials, logistics, and minutes.

  • Digital Tools & Reporting:

    • Support reporting using Power BI, SharePoint and CRM systems.

    • Assist in maintaining accurate records and dashboards through structured reviews and data cleansing.

    • Support end users on internal systems and promote best practices.

  • Presentation & Document Preparation:

    • Prepare high-quality internal and external documents using PowerPoint and SharePoint.

    • Support visual formatting and layout of reports, dashboards, and communications.

  • Cross-Functional Support: Liaise across departments to gather updates, track actions, and ensure alignment on business initiatives.

 

Experience


About You

  • 2+ years in a PA, Executive Assistant, or Business Support role.

  • Strong organisational skills and confidence managing senior stakeholders.

  • Comfortable using digital tools (Excel, PowerPoint, SharePoint, Outlook) and reporting platforms (Power BI, CRM).

  • Excellent written and verbal communication.

  • A proactive mindset, detail orientation, and ability to juggle multiple priorities.

  • Experience in the construction or engineering sector is a bonus.

 

Qualifications

You will have:

  • Relevant administration certification (e.g. ECDL, Pitman Training, QQI Office Admin or similar) desirable.
