Overview

 

The Hire Desk Supervisor is a key role within the Asset Team based in Baldonnell, South Dublin.  In this growing Team we are seeking someone who will be familiar with Plant Hire, Construction Projects and the pace and reactions required to match supply with the demand of our site-based-teams.  We hold a lot of internal assets but also rely heavily on our supply chain to support our demands.  The role is wide – covering plant hire, to breakdown swap outs, to logistics through to invoice queries.  The Team is made up of Hire Controllers, and we will be expanding in the short term to include more support to them.

 

This internally focused role is crucial in managing day-to-day hire operations, ensuring seamless supply of internal and external assets, and supporting business growth. This person will be a strong team leader with excellent problem-solving skills and a keen eye for operational efficiency.

Responsibilities

Hire Desk Management

  • Oversee daily hire desk operations, ensuring smooth coordination of equipment rentals.
  • Manage stock controls and availability, ensuring efficient allocation of internal assets.
  • Source external third-party assets when internal equipment is unavailable.
  • Handle first-level escalations and problem resolution for hire-related queries.
  • Ensure accurate and timely processing of hire orders, contracts, and documentation.

 

Procurement & Supply Chain Management:

  • Obtain quotes from vendors and suppliers, compare pricing to ensure value for money solutions are delivered to the projects
  • Place orders and track the delivery of plant and equipment to sites, ensuring that they arrive on time and meet project specifications.
  • Work closely with plant managers to ensure own assets are mobilised where possible
  • Develop and maintain relationships with trusted suppliers, ensuring good terms and reliable service.

Team Leadership & Development

  • Lead, mentor, and support the hire desk team, ensuring high performance and motivation.
  • Allocate workloads effectively to maximise efficiency and service levels.
  • Provide training and guidance to new and existing hire controllers.
  • Foster a positive team environment and encourage professional development.

 

Customer & Stakeholder Engagement

  • Attend Projects and Supplier offices regularly to build and maintain relationships, both internally and with the Supply Chain
  • Manage internal stakeholder relationships to ensure hire requirements are met.
  • Support project inquiries, offering suitable hire solutions based on availability.
  • Communicate with suppliers and external hire companies to secure additional equipment when required.
  • Maintain strong working relationships with operational teams to align hire desk processes with business needs.

 

Operational & Administrative Duties

  • Oversee hire contracts, ensuring compliance with company policies and procedures.
  • Assist in streamlining hire processes to improve efficiency and reduce downtime.
  • Prepare reports and insights on hire desk performance for management review.

Experience

  • Proven experience in a hire desk or hire management role, preferably in the construction plant hire sector.
  • Strong leadership and team management skills.
  • Excellent organisational and multitasking abilities.
  • Strong problem-solving skills with a proactive approach.
  • Knowledge of hire software systems and inventory management.
  • Strong communication and stakeholder management skills.
  • Ability to work under pressure and manage competing priorities.

Qualifications

All training to be provided, however, any training in Plant Hire related activities will be an advantage
