Overview

 

We require an experienced Site Administrator to provide a broad range of administrative support and coordination services to a busy operational site. The Site Administrator will be the key point of contact for meeting coordination, team support and any ad hoc administrative tasks. They will be a professional administrator who works with integrity and discretion at all times.

Responsibilities

  • Manage the day to day running of the site office
  • General administrative duties as required by the Site Manager or Contracts Manager, including typing and distribution of meeting minutes and actions arising
  • Conduct document control including creating packages, collating documents for the Site Team and assisting sub-contractors with queries
  • Liaise with Procurement department
  • Manage anomalies and costs
  • Report weekly and monthly data and information to site teams, key stakeholders and partners
  • Maintain a professional image for the company in all dealings with public and stakeholders
  • Other ad hoc duties that the Company may require from time to time
  • Manages all correspondence in a proactive manner.
  • Prepare meetings, prepare collateral and wrangle the working group members to achieve their tasks.
  • Undertakes any ad hoc administrative tasks as requested.
  • Maintains a log of messages and actions for review on a periodic basis.
  • Take ownership for diary management and coordination with the business and external stakeholders.
  • Arranges meeting rooms and room setups as required.

Experience

  • Excellent Interpersonal and Organisational skills.
  • Can clearly demonstrate a flexible approach to work.
  • A strong track record of proactive diary management.
  • The ability to utilise the full suite of Microsoft Office tools (Word, Excel, PowerPoint, Adobe, etc.).
  • The ability to exercise the utmost discretion in dealing with sensitive data.
  • Experience prioritising a range of activities or projects on behalf of an organisational leader.
  • Is familiar with social media platforms and how to use them effectively.

Qualifications

Required Qualifications/Training

  • Significant experience of working within the Construction Industry.
  • ECDL, Pitman or equivalent qualification.

Desirable Qualifications/Training

  • A Business Administration or related qualification.
  • Has a keen interest in the use of technology to improve efficiency.
